Shipping & receiving

Missing from the cabinet delivery, or scheduled for another shipment?

Compare the purchase record, shipment allocation and actual contents before labeling an absent item as a shortage.

When a cabinet item is absent, establish whether it was ordered, assigned to the arriving shipment and actually received before deciding what is missing. A backordered item, a separately dispatched item and an unaccounted-for package need different follow-up. Keep the unresolved status specific rather than marking the entire order delivered or assuming everything absent will arrive later. The most useful question is where each unreceived item stands in the current order and shipment records.

Diagram Reconcile the arriving shipment separately from the full purchase; an absent item may require a different shipment record or a discrepancy report.

Begin with the current purchase scope

Check the final accepted order for the item identity, quantity and configuration. An item on an early quote or drawing may not be in the released purchase. If it is absent from the accepted order, ask the supplier to clarify the purchasing discrepancy rather than asking the carrier to locate a package that may never have been ordered.

For an ordered item, identify the shipment or release to which the supplier assigned it. Read the shipment-specific packing record alongside the complete order. A full-project invoice can include parts that are not on the arriving truck, while a packing list may cover only the load being handed over. Those documents answer different questions.

Check separate deliveries and combined packing

IKEA's US missing-item guidance asks customers to review the purchase record, check whether items share packaging and confirm whether the order has separate deliveries. Apply that reconciliation approach to your cabinet order. Do not infer a shortage from the absence of a separate carton when the item may be packed with another component.

Match any separate tracking or shipment references to named items, not just to an overall order total. A second tracking number is helpful only when you know what it is supposed to contain. Likewise, “ships separately” should be connected to the specific part and its current status rather than used as a general explanation for every missing accessory.

Give each unreceived item the right working status

If the supplier confirms an item is still awaiting fulfillment, record it as pending at the supplier and retain the available estimate or next update point. That is different from an item confirmed as dispatched under another reference. Ask for the actual status instead of treating an estimated future date as proof that the item is already moving.

If the arriving shipment's documents list a package or item that cannot be reconciled with what was received, record the discrepancy and report it through the receiving process. If the documents themselves are unclear, keep it unresolved pending confirmation. Do not change “unexplained absence” to “backorder” merely because that description sounds less urgent or allows the order to appear complete.

Use an accessory example to test the records

Imagine the main cabinet cartons arrive, but a decorative panel is not found. The supplier's current acknowledgment says the panel is scheduled separately, while a hardware kit is listed in the arriving shipment. The panel needs a confirmed follow-up status; the kit needs reconciliation against the actual packages and their contents. They should not receive the same generic missing-item note.

Check whether the kit is packed inside an identified mixed carton according to the supplier's instructions. If it remains unaccounted for, report its item identity, expected shipment and the checks already completed. This helps the supplier distinguish a packing question from a transit discrepancy. It also reduces the chance of ordering a duplicate part while the original is still expected or already present in another box.

Keep the remaining-order list open until receipt is verified

Maintain a concise list of items not yet received, with the source of the status, relevant shipment reference and person responsible for the next update. Tell the installer which absences affect upcoming work. A cabinet body being present does not necessarily mean every component needed for the planned task is available, but the installer should assess that dependency rather than have it assumed for them.

When a later shipment arrives, reconcile it against the same outstanding list and update only the items actually received. If a supplier changes the plan to a substitution, cancellation or other resolution, record that change separately from physical receipt. Close the issue when the item has been accounted for through the agreed outcome, keeping a clear distinction between ordered, expected, dispatched and received.

Beyond the finish / The construction

Cabinet construction. Made visible.

The sample shows the door frame, a separate center panel, the face frame and the cabinet box. Each component has its own place in this Shaker construction.

Shaker construction: door frame, center panel, face frame and cabinet box. The cutaway helps locate these parts; confirm each material in the specifications for the selected cabinet.

01 / Door frame

The Shaker door has rails and stiles around a separate center panel. The frame and center panel are different components; confirm their materials in the specifications for the selected cabinet.

02 / Face frame

The face frame surrounds the opening at the front of the cabinet box and sits behind the doors. The face frame, door frame and cabinet box are separate parts.

03 / Cabinet box

The sample exposes the cabinet sides, interior surfaces and layered edges. The image does not establish the wood species or material specification of a selected cabinet.
