A cabinet carton arrives crushed: write a usable receiving record

Tie the visible condition to the package identity and delivery document before the arrival scene changes.

When a cabinet carton arrives visibly damaged, record what you can actually see, identify the affected package and communicate the condition during the handoff. Use the supplier and carrier's receiving process to decide the next step. A vague statement that the delivery looked bad gives later reviewers little to work with. A clear arrival record separates observed packaging condition from anything still unknown about the cabinet inside.

Describe the condition before explaining its cause

Look at accessible outer surfaces as the shipment is presented for receipt. Note tears, compressed corners, punctures, opened seams or visible moisture marks, locating the observation on the carton. Describe what is present rather than guessing which vehicle, person or earlier handling event caused it. The receiver usually cannot reconstruct the journey from the damage pattern alone. Indicate whether you first observed the condition during unloading or after placement in the receiving area, preserving the actual sequence.

KraftMaid's delivery guidance calls out visible carton tears, crumpled corners and water stains, and directs buyers to record problems and contact their project supplier. That supports observing and reporting the arrival condition. It does not mean every marked carton contains a damaged cabinet or establish a universal response for every carrier.

Connect the observation to the correct package

Record the shipment reference and the affected carton label or other package identifier. If labels are unreadable, describe the location within the delivered load and tell the supplier that identity needs confirmation. Avoid assigning the damage to a cabinet merely because you think that model was packed in the damaged-looking box.

Keep an image that relates the condition to the identifiable package, then add a closer view if needed. Record how many packages show the observed issue using the actual count, without turning a partially visible pallet into a completed inspection. Some surfaces may remain inaccessible during arrival; state that limitation rather than implying every face has been checked.

Make the delivery note specific and retain a copy

Use the applicable receiving document or electronic process to describe the affected package and visible condition. For example, a note explaining that the labeled panel carton has a compressed lower corner and a torn seam is more useful than “damaged delivery.” If the contents have not been inspected, keep that fact distinct from the outer-carton observation.

Before completing the handoff, review the condition entry through the process provided and retain the record or request a copy. If the system does not offer the expected notation method, contact the delivery organizer and supplier promptly with the shipment identity and observations. Do not treat a verbal conversation as the only surviving account of an issue that will need later follow-up.

Resolve the next action without inventing a blanket rule

Imagine a wrapped pallet arrives with a crushed corner on a labeled carton, while the surrounding cartons appear intact. The useful report identifies that carton and describes what is visible. It does not say the whole order is broken, and it does not declare the cabinet inside undamaged because the wrapping still holds together.

Ask the responsible supplier or delivery organizer how to handle the affected package under the agreed process, including whether an inspection is appropriate before the handoff proceeds. Do not apply a universal “always refuse” or “always accept” instruction to different orders. If the load is unstable or the inspection would require entering an unsafe area, stop that activity and ask the responsible team to address the condition.

Preserve the connection to the later inspection

Keep the receiving record, photographs and shipment documents together, and mark the affected package so it can be identified during subsequent unpacking without obscuring its original label. Avoid repairing, discarding or separating the relevant packaging before obtaining the supplier's instructions. Later observations should be added as later observations, not substituted for the original arrival record.

FedEx Freight lists photographs and shipment or purchase documents among supporting records and discusses packaging and contents images for inspection. The practical lesson is to retain a coherent account of the same item across handoff and review. Documentation supports assessment; it does not itself establish the cause or promise a replacement. Send the record to the named contact and confirm what further information is needed.

Beyond the finish / The construction

Cabinet construction. Made visible.

The sample shows the door frame, a separate center panel, the face frame and the cabinet box. Each component has its own place in this Shaker construction.

Cabinet sample with exposed frame, panel joints and layered edges
Shaker construction: door frame, center panel, face frame and cabinet box. The cutaway helps locate these parts; confirm each material in the specifications for the selected cabinet.

01 / Door frame

The Shaker door has rails and stiles around a separate center panel. The frame and center panel are different components; confirm their materials in the specifications for the selected cabinet.

02 / Face frame

The face frame surrounds the opening at the front of the cabinet box and sits behind the doors. The face frame, door frame and cabinet box are separate parts.

03 / Cabinet box

The sample exposes the cabinet sides, interior surfaces and layered edges. The image does not establish the wood species or material specification of a selected cabinet.
